A homeowner whose air conditioner just quit does not leave a voicemail and wait. They call the next shop on the list. Seven options are priced below, with the HVAC facts that should decide between them. For the full table across every trade, see the best AI receptionist comparison.
Eleven of fifteen shops did not pick up
Colette Kemp is a customer, not an HVAC operator. She called 15 HVAC companies on a weekend to see who would answer. In her words, "Two business owners answered their own phones." Then: "The remaining 11 companies? Voicemail. Or worse, endless ringing with no answer at all."
Even the two who answered did not all help. One owner had loud children in the background and, she wrote, "admitted he couldn't really do anything or write anything down." A pickup is not the goal. The goal is a call that ends with the address, the problem and a next step on paper. That is the test to run on every option below.
What one night call is worth
The numbers come from a named shop's published rates, as of June 2026: an after-hours or emergency diagnostic fee of $150 to $300, and an emergency repair of $300 to $1,500 or more. The plan prices further down were read in October 2026.
- Smith.ai AI Pro at $150 a month is covered by one after-hours diagnostic at the low end.
- SvarKlar at $295 a month is roughly one diagnostic at the high end, or one emergency repair at the low end.
- Ruby at $250 to $1,725 a month and Smith.ai live at $300 to $2,100 pay back only if the volume is there. Divide the plan by your average ticket, then compare it with the number of calls you actually lose.
Your own ticket and close rate will differ. The missed call calculator takes your numbers instead of ours.
Live staff or AI when July gets loud
An owner on r/HVAC with three employees wrote that "handling the number of calls we receive, especially during the summer, is becoming quite unmanageable." That is a volume problem, and each choice fails in its own way.
- Live staff give the caller a human voice, and they can ask a follow-up question no script covers. Their plans are metered by minute or call, so the busiest weeks cost the most.
- An AI answers every call at once, with no queue in a heat wave. One HVAC operator who ran an AI line for eight months reported that it "occasionally double-books if two calls come in at the exact same time, but that's very rare." Ask any AI vendor what happens when two calls land together and who sees the clash.
- Both is a third path: the AI takes the first call, and a person or live service takes the ones that need a human.
Before you buy either, ask the safety question. On a gas smell or a carbon monoxide alarm, the first words to the caller should tell them to leave the house and call the gas company or 911 from outside. Ask for the wording in writing.

SvarKlar is covered in its own section below. It is not in the table because we wrote the table, and it deserves a fuller note.
Live voices: Ruby and Smith.ai
If your customers want a person, Ruby is one choice. It uses trained, US-based receptionists for calls and chat, and covers 24/7/365 including holidays. Plans run from $250 a month for 50 minutes to $1,725 for 500. In our opinion, a tight-margin shop should check how many minutes its worst August used before choosing the plan. See our Ruby page.
Smith.ai counts calls where Ruby counts minutes. Its live plans begin at $300 a month for 30 calls, billed by answered call, with month-to-month terms. Booking a visit is a $1.50-per-call extra, which matters if every HVAC call ends in a booking. More on our Smith.ai page.
AI lines that do not need a new phone setup
The same company runs an AI tier. Smith.ai's AI plans are Free for 25 calls, Pro at $150 a month for 75 calls and Enterprise at $500 for 300. The free tier lets a shop hear the AI on its own night calls before paying anything. Check the overage terms before the first heat wave.
RingCentral suits a shop that wants its own phone system rather than a bundle. The AI Receptionist is $49 a month standalone or $39 on top of a separately billed RingEX plan, with 100 minutes included and then $0.50 a minute. It routes by name, location or keyword and has an AI text agent, which helps when a homeowner texts the shop's number. It offers a free trial. See our RingCentral page.
If your dispatch software already sells an answer
Jobber's receptionist is aimed at a shop that already schedules in Jobber. It costs $29 a month on selected plans and handles calls and texts 24/7, booking visits into your calendar or transferring a call to a person. Jobber's own plans run from $49 to $499 a month. More on our Jobber page, or read Jobber alternatives if you are thinking of leaving.
ServiceTitan fits larger HVAC shops that dispatch and bill there. Its Virtual Agent is listed at $2.75 per voice call and $0.10 for SMS, billed monthly with a 12-month rate lock, and it books against technician capacity. All three core tiers show "Request Pricing", so ask which one the agent needs. See our ServiceTitan page and ServiceTitan alternatives.
Housecall Pro's CSR AI answers for a shop already on its platform. It takes calls and chat 24/7 and can book on your Housecall Pro calendar, or pass a caller to a number you choose or a live agent. Phone answering is a paid add-on with no published price. Platform plans are Basic $59, Essentials $149 and Max $299 a month, billed annually. See our Housecall Pro page and Housecall Pro alternatives.
SvarKlar for an HVAC shop
We make SvarKlar, so read this section with that in mind. Frederik, the founder, builds your setup and runs it himself. Calls, texts, web forms and messages get a reply within seconds. Each reply sorts out the job, books the visit or the callback, and follows up later. You decide whether replies send themselves or hold for your okay, and whether they carry your name, your crew's or SvarKlar's. Ask it directly and it will say it is an AI.
Say a caller smells gas or has a carbon monoxide alarm going. Once you have set your emergency rules in the Portal, the reply opens with the get-safe line: leave the house and call the gas company or 911 from outside. Only then does it ask anything, and you get the job with the whole story. Emergencies and odd cases go to you rather than to a guess. SvarKlar does not dispatch and does not replace ServiceTitan, Housecall Pro or Jobber, and it is not a person on a headset. Our HVAC hub shows what it does for a shop.
Four things to get in writing
- The first words a caller hears on a gas smell or a carbon monoxide alarm.
- What your busiest month costs, using last August's call count.
- What happens when the included minutes or calls run out.
- How two calls at the same second are handled, and whether you can cancel any time.
Then ring your own number after hours, from a phone that is not yours, before the season starts. Our after hours answering service guide covers writing the emergency rules and the on-call hand-off.
Is this you? You are on a roof in July, the phone buzzes, and you already know whose number it is. SvarKlar is $295 a month. Setup free. Cancel any time. Book a call to get started or see all comparisons.
